Minutes of the A.G.M. of the Thixendale Village Hall Committee

1.          Election of officers

There being no other nominations, the following were re-elected:

Chairman; Lyn Boyes
Treasurer; Bob Birrell
Secretary; Eileen Birrell
P.C.C.; Mary Brader
Cricket Club; Mike Walker
Co opted members; Marie Holmes and David Lake.

As there was no Vice Chairman, Paddy Cloony was nominated and elected. There were no nominations for representatives from the Parish Council or the Rounders Club.

 2.          Financial Statement.

The balance in the current account stands at £1910.51
The balance in the deposit account stands at £518.13
£228.00 has been raised for the current account by the Village Lottery since 01.04.01.  (£228.00 going in prize money)

Thanks were given to the ticket sellers and Paddy for the use of the pub on a Sunday Night for the draw.

Information was given regarding an application to the Lottery Body ‘Awards for All’.  This is an application for funding to help cover professional fees in preparation for the main application. 

The North Wolds Gun Club has kindly donated £160.00 to the refurbishment fund.  Thanks go to Michael Holmes and Malcolm Midgely.

Funding will be required for repairs to the ladies toilet block. The committee have been advised by D. Crease, architect, that the repairs should be undertaken in a professional way and to a high standard.  This will support our major application by demonstrating a commitment to the project and listed building status of the Village Hall.

B. Birrell stated that the accounts and balance book were available for examination to any one who wished to see them.

3.          Fund Raising Activities.

There has been a lack of quotes for repairs to the toilet block.  Paul Scothern to be approached.

It was agreed to postpone/cancel the village fete for the time being in view of the foot and mouth epidemic.  The situation will be reviewed again late July/ early August with a view to a fete in September.

It was agreed, despite the work involved, to continue with the weekly Village Lottery.  E. Birrell asked if two or four more people would volunteer for door to door ticket sales.  This would spread the task over three or four weeks, instead of fortnightly.

Laminated sheets to be produced for the Pub, garage and notice board for publication of winning numbers, winners and prize money rather than relying on word of mouth as at present.

In conjunction with the P.C.C., a musical fund-raising evening has been arranged for Friday 20.07.01, featuring the Merlin Consort.  Details to be finalised re ticket prices, format of the evening etc.

Further suggestions for fund-raising events were made.  Josie Holmes to be approached about organising a Bingo Evening.  Tony Fisher to be approached regarding a Treasure Hunt.  P. Cloony to make enquiries about a Whist Drive.

A Village dance?disco was suggested as a possibility for October.  No firm decision was made.

D. Lake suggested that activities could be arranged over the summer holidays, for the children, supporting our claim that the hall is and will be used on a regular basis.  He commented that there had been no bookings for the Village Hall recently.  E. Birrell offered to make some enquiries.

4.          Use of Hall for Polling Station.

L.Boyes has been advised that the Village Hall Committee, Parochial Church Council and the Parish Council write to The Elections officer, Ryedale District Council.  They should state that it is their wish that the Village Hall revert back to its status of Polling Station for any future election, particularly now the hall is no longer used by the Youth Hostel Association.

5.          Any other business.

Names of quantity surveyors were put forward, regarding the refurbishment project.

Copies of sketch plans of the interior of the hall are available at the pub and garage for review by the village.  E. Birrell to arrange a meeting with D. Crease, architect, to pass on any comments.

D. Lake proposes some improvements to the kitchen pro tem.  Any offers of help, kitchen equipment furniture grateful received.

There being no other business, the meeting closed.  No specific date was set for the next meeting.  To be arranged/confirmed by E. Birrell.

13th March 2001

There was a meeting on Tuesday 13th March to discuss village hall matters and fund-raising. There was a good turnout of 16 people despite the chilly conditions.

The hall finances are satisfactory, with about £1600 in the bank. It is clear that the main item that is keeping the hall afloat is the fete, which raised £750 last year. Hall bookings are up on previous years, but are nowhere near covering the costs.

It is hoped that the proposed village lottery will be able to assist with the support of the hall. (See above.)

Applications have been made to lottery bodies for money to refurbish the hall. Any developments will be posted here.

It is intended to organise another fete this year, probably on a Sunday in July. Volunteers please!

It has also been suggested that the kitchen should be refurbished to make it more useable and hence increase bookings. Anyone with reasonable second-hand cupboards, base units, refrigeration, cutlery or crockery please drop us a line.

12th September 2000

Committee meeting.

Present: Lynne Boyes, Paddy Clooney, Eileen Birrell, Marie Holmes, Sophie Turton.

Apologies: Pauleen Foster, Mrs. Brader, Mick Walker, Bob Birrell.

  1. Draft sketches prepared by architect for proposed extension to the Village hall were shown to those present. It was agreed that due to the small numbers present a decisions could not be reached as to the preferred option.

  2. The financial audit is not yet completed. Enquiries to be made as to the detail required when presenting accounts for a Lottery bid. Comments and recommendations by Jane Lake were read out.

  3. It was pointed out that the architect would submit a bill following some further preliminary work. Enquiries to be made by Eileen Birrell as to funding for a "feasibility study" i.e. to cover some of the architect's initial costs.

  4. The need to generate a proportion of self funding was again discussed. Eileen Birrell to make enquiries about setting up a village lottery. She did, however, point out that she would be unable to undertake the running of a village lottery. Volunteers needed!. Eileen Birrell also to enquire about the necessary licence.

  5. Eileen Birrell meeting with Clare Slater (Community Services  Officer, Ryedale District Council) for advice on lottery bids and applications. Meeting 13th September.

  6. Next meeting arranged for 10th October, 19:30 Village Hall.

 

22nd May 2000

An open meeting was held by the village hall committee on 22nd May to discuss the Village Hall building needs. As a listed building in need of repair, it was decided to apply for funding from a variety of sources, including the National Lottery. Items discussed were the upgrade of facilities, repairs to the building and the incorporation of furnishings and fixtures for use by the younger generations.
